How to use Billing overview
Get the Billing add-on switched on and seeded so the three invoice flows are ready to use.
- Enable the Ledger add-on. Admin Portal → Workspace → Add-ons → activate General Ledger. The Ledger sidebar group appears the moment it's active. Without it, the invoice screens stay hidden — operational records work as normal, just without the financial side.
- Seed the Chart of Accounts. Open Ledger → Chart of Accounts. The seeder lays down a default tree: 1100 Accounts Receivable, 2100 GST Payable, 4000 Sales Revenue, plus the supporting expense and equity nodes. If your accountant uses different codes, edit the existing rows — don't delete and re-add — so existing journals stay attached to the right account.
- Set up Rates. Open Ledger → Rates and add at minimum: a super rate (e.g. 0.115 for 11.5 %), a payroll tax rate per state where you employ people, a workcover rate per WIC code, and a GST rate (0.10). Rates cascade system → group → org — set the defaults once at the system level and only override at group or org when a specific customer needs different numbers.
- Confirm the Chart and Rates are correct by spawning a test invoice from a small Order and checking the resulting journal in Ledger → Journals. If the debits and credits don't look right at this point, fix the Chart or the Rate before going live — issued invoices are immutable, and you don't want to reverse and re-issue every test invoice the first week.
