How to use Export journals to Xero / MYOB / QBO

Filter, export, paste into the accounting system, reconcile.

  1. Set up the Chart of Accounts external codes (once). Open Ledger → Chart of Accounts, edit each row, set External code (Xero / MYOB) to the equivalent code in your accounting system. AR might be 1100 in FlecBase and 610 in Xero — that mapping lives in external_code.
  2. Open Ledger → Journals. Filter by posted date range (use the from/to date filter). Optionally narrow by source type or reference.

  3. Tick the journals you want to export. Tick the header to select all on the current page; the filter respects the current visible set. Drafts are filtered out automatically — only posted journals flow to the export.
  4. Bulk actions → Export selected → CSV. Pick the format: Xero, MYOB AccountRight, QuickBooks Online, or Generic. Click Confirm.

  5. The file downloads. Filename is <format>_journals_<timestamp>.csv. Open in a text editor to spot-check before importing into the accounting system; the column shape matches the published Xero / MYOB / QBO template exactly.

  6. Import into the accounting system. Xero: Accounting → Reports → Journal Report → Manual journals → Import. MYOB: File → Import → General Journal. QBO: Settings → Import data → Journal Entries. Each system imports as drafts that the accountant posts after review.
  7. Reconcile. Pick three accounts (AR, GST Payable, Sales Revenue), check their balance in FlecBase tinker and in the accounting system. Numbers should match to the cent — if they don't, FlecBase is wrong until proven otherwise.
  8. Check the audit log. journal_exports records every export; query by date range or filename to see what you handed to the accountant last week without recomputing.
